Execufix Privacy Policy

1. Introduction

Execufix ("we", "us") provides a visual planning service through execufix.com, its web application, and its mobile applications (collectively, the "Service"). This Privacy Policy explains what personal information we collect, how we use it, when it may be shared, and the choices available to you.

2. Personal Information We Collect

Depending on how you use Execufix, we may collect the following categories of information:

  • Account and profile information. Name, email address, preferred name, role, account identifiers, and authentication information needed to create and manage your account. Execufix supports authentication services that may include Sign in with Apple and Google Sign-In.
  • Planning and user content. Information you choose to enter or import, such as tasks, assignments, deadlines, calendar events, routines, categories, notes, checklist items, focus-session information, reflections, coach feedback, partner messages, and intake responses.
  • Journal content. Private journal entries are stored as account-owned content and are intended to be visible only to the account owner through normal product access.
  • Connected-service information. If you choose to connect a school, calendar, or productivity service, we may receive and store information needed to provide that connection and import the content you request. Depending on the integration, this may include assignments, classes, calendar events, workspace or database information, connection metadata, and authorization tokens. Supported or tested integrations may include services such as Google Classroom, Google Calendar, Canvas, Blackboard, Blackbaud, Apple Calendar, and Notion.
  • Subscription and purchase information. We may store subscription product identifiers, transaction or subscription identifiers, subscription status, trial or renewal status, billing-period dates, cancellation status, and similar entitlement information. Apple processes App Store payment details for iOS purchases. Execufix does not receive your full App Store payment-card number.
  • Usage and technical information. We record authenticated page or feature usage through application activity logs. We and our service providers may also receive routine technical information associated with requests to the Service, such as device or browser type, operating system, app version, network or request information, and referring information. On the website, cookies or similar browser technologies may be used for session and service functionality.
  • Support and communications. Information you provide when contacting support, sending feedback, completing an intake form, or communicating with another user through supported Execufix features.

3. AI-Assisted Features

Some Execufix features can use AI assistance, such as suggesting smaller steps for a task. When you choose to use one of these features, the task information needed to generate the requested suggestion may be sent through our service provider's AI integration. Do not include information in an AI prompt that you do not want processed for that feature.

4. How We Use Personal Information

We use personal information to:

  • Create and maintain accounts and authenticate users.
  • Provide planning, scheduling, focus, reflection, coaching, and collaboration features.
  • Import information from services you choose to connect.
  • Verify subscriptions, restore purchases, and determine account access or entitlements.
  • Provide AI-assisted features when you request them.
  • Send service-related messages and support communications.
  • Understand product usage, troubleshoot problems, maintain security, and improve Execufix.
  • Comply with legal obligations and protect the Service and its users.

5. How Information Is Shared

We do not sell your personal information or use it for third-party advertising or cross-company advertising tracking.

We may share information in the following situations:

  • Service providers. We use service providers to operate Execufix, including Base44 for application hosting, data services, and managed authentication; Apple and other authentication providers; Apple for App Store subscriptions; web billing providers for web purchases; EmailJS for intake-form email delivery; integration providers you choose to connect; and AI/service infrastructure used for requested AI-assisted features.
  • Coach, parent, partner, or client connections you authorize. If you accept or create a supported account relationship, information in the shared workspace may be available to the linked user as required for that feature. This can include planning data, assignments, progress, reflections, or messages. Private journal entries are not intended to be part of coach/client shared workspace access.
  • Connected services. When you ask Execufix to connect to or exchange information with a third-party service, information is sent to or received from that provider as needed to complete the requested connection or import.
  • Legal, safety, and business requirements. We may disclose information when required by law, to protect users or the Service, investigate abuse or fraud, enforce our terms, or as part of a merger, acquisition, financing, reorganization, or sale of assets.

6. Authentication and Sign in with Apple

Authentication may be handled through Base44 and supported identity providers such as Apple or Google. These providers process information under their own terms and privacy policies. Execufix receives the account information made available through the sign-in flow that is needed to identify and manage your Execufix account.

7. Security

We use reasonable technical and organizational measures designed to protect personal information from unauthorized access, use, alteration, or disclosure. No system can guarantee absolute security.

8. Data Retention

We retain personal information for as long as reasonably needed to provide the Service, maintain your account, meet operational or legal requirements, resolve disputes, and enforce agreements. Different categories of information may have different retention periods. When an account-deletion request is completed, Execufix deletes or anonymizes covered app data except information we are required or permitted to retain.

9. Your Choices and Connected Services

You can update certain account information and app preferences in Execufix. You can disconnect supported integrations through the Service where a disconnect control is available. Disconnecting an integration stops future access through that connection but may not automatically delete information previously imported into Execufix.

On the website, browser controls can be used to manage cookies or local browser storage, although disabling required storage may affect authentication or other functionality.

10. Request Account or Data Deletion

You can request deletion of your Execufix account and associated app data by using Request account deletion in Settings when you are logged in.

If you cannot access your account, you can request deletion by emailing support@execufix.com.

Account deletion is a staged process. Support will review and process your request within 7 days. Execufix app data is deleted or anonymized as applicable, and the managed Base44 account is removed through the Base44 App Users process. If you used Sign in with Apple, Base44 does not expose the Apple token needed for Execufix to revoke that authorization directly. After Execufix confirms deletion, follow the Account Deletion page instructions to stop using Sign in with Apple for Execufix from your Apple Account settings.

If you have an Apple App Store subscription, deleting your Execufix account does not automatically cancel that subscription. Billing may continue until you cancel it through Apple. Please manage or cancel your Apple subscription before your account deletion is completed. For subscriptions from other billing providers, manage the subscription through the provider where it was purchased.

11. Children's Privacy

Execufix is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact us so we can investigate and take appropriate action.

For users between the ages of 13 and 17, we encourage parental guidance and supervision.

12. Third-Party Services and Links

The Service may connect to or link to third-party services. Their privacy practices are governed by their own policies. Review those policies before connecting an account or providing information to a third party.

13. Changes to This Privacy Policy

We may update this Privacy Policy as Execufix changes. We will post the updated policy on this page and update the "Last Updated" date. If a change is material, we may provide additional notice where appropriate.
